Refund & Cancellation Policy

Scope of Policy

This policy outlines the terms for refunds and cancellations concerning services provided by Jadwyn Media, which operates under both a Monthly Retainer model and a Fixed Project Fee model, including Consulting Sessions.

Monthly Retainer Service Cancellation and Billing

This section applies to all ongoing, recurring service agreements (e.g., social media management, SEO, content management subscriptions).

A. Cancellation Notice

To terminate any Monthly Retainer Service, the Client must provide written notice of cancellation to Jadwyn Media at least thirty (30) days prior to the next scheduled billing/renewal date.

B. Billing and Refunds Upon Cancellation
  • Current Term Billing: The Client is responsible for the full fee of the current 30-day contract term agreed upon at the time of notice. No partial or prorated refunds will be issued for the remainder of the month in which notice is given.

  • Future Billing: All future recurring billing will cease following the renewal date that falls after the mandatory 30-day notice period.

  • Service Continuity: Jadwyn Media will continue to provide services fully through the end of the paid contract term.

Fixed Project Fee Cancellation and Refunds

This section applies to all agreements defined by a single, fixed price for a specific scope of work (e.g., website redesign, video production, specific campaign launches).

A. Early Termination by Client

If the Client chooses to terminate a Fixed Project Fee agreement before the scope of work is fully delivered:

  • Refund Calculation: The Client will be eligible for a refund, calculated as the total fixed fee paid, minus the value of all work completed or time spent by Jadwyn Media up to the date of written termination notice. This calculation will be based on the agreed-upon hourly rate for services or a reasonable determination of project milestones achieved.

  • Non-Refundable Costs: Any third-party costs or software license fees incurred by Jadwyn Media on behalf of the Client (e.g., stock imagery purchases, ad platform spending) are non-refundable.

B. Consulting Fixed Fees
  • Fixed-price consulting sessions (defined as one-time, short-duration strategy or advisory meetings) are immediately scheduled and consume valuable time and resources. All fees paid for Consulting Fixed Fee sessions are non-refundable.

Quality Guarantee and Dissatisfaction Resolution

Jadwyn Media is committed to client satisfaction and aims to deliver high-quality, professional services. While refunds for completed work are generally not provided, we offer a structured process to address any dissatisfaction with the quality of our deliverables:

  1. Notification: The Client must submit a formal written notice of dissatisfaction within seven (7) days of receiving the specific deliverable (e.g., a creative asset, strategy document, or report). The notice must clearly detail the deficiencies and how the work failed to meet the agreed-upon scope or objective.

  2. Review and Assessment: Jadwyn Media will review the stated deficiencies against the original project brief, contract, and agreed-upon acceptance criteria.

  3. Resolution Options: If Jadwyn Media determines that the deliverable materially failed to meet the agreed-upon quality or scope, the resolution will prioritize correcting the issue through one of the following methods, at Jadwyn Media's sole discretion:

    • Free Revisions: We will provide reasonable and targeted free revisions to the specific deliverable until it aligns with the defined scope.

    • Account Credit: For ongoing retainers, we may offer a partial service credit toward the next month's retainer fee.

    • No Refund for Completed Work: Refunds are not provided for completed work that met the contractual scope, even if the client's business outcomes were not as anticipated, as results are dependent on numerous external market factors. The focus of the guarantee is on the quality of the service delivery and adherence to the scope.
